Servisource Workforce Solutions, part of the Cpl Group, are now seeking to recruit a Bid Administrator to join our established Marketing Team.

The Bid Administrator will be responsible to support and assist in the preparation of tender and bid submissions across varied disciplines throughout the organisation. The potential candidate will proficiently produce visually attractive submissions, prepare and proof-read correspondences, and monitor and update databases, forms, documents and reports.

Duties of the role will include (but are not limited to)

  • Monitoring all procurement portals and avenues (PQQ/Tender alerts) for project opportunities related to team activities or complimentary services aligned to the organisational strategic plan.
  • Reviewing and formatting bid content, providing a pre-submission control point to ensure submissions follow a consistent and comprehensive format.
  • Printing, posting, packaging, and uploading PQQs/Tender submissions in line with deadlines.
  • Managing PQQ logs and timescales in line with deadlines, escalating issues as required.
  • Coordinating tender submissions, communicating with relevant team members, highlighting special requirements, deadlines, site visits, etc.
  • Central hub for receipt of client documentation and contact. Liaising with clients in relation to process, timelines, and feedback.
  • Completing PQQs/Tenders, tailoring responses to client sector, client requirements and our USPs whilst including all relevant company information.
  • Responsible for producing strong, technical, and original responses to allocated sections of PQQs and tenders.
  • Identifying and re-working existing pre-written content where relevant, ensuring standard materials and the bid library (e.g. processes, experience examples, testimonials, CVs) are regularly updated and available for immediate use.

Role Requirements

  • Relevant experience in a Bid / Tendering capacity is desirable.
  • Excellent written and verbal communication skills. Proficiency in the English language.
  • Excellent organisational, planning, attention to detail and time management skills.
  • Analytical thinker with problem solving initiative.
  • Ability to work under pressure and meet deadlines.
  • Ability to work collaboratively with both internal and external stakeholders.
  • Full proficiency in ICT systems.
